1. Who we are

2. When you download a resource

What we collect: your name, your work email address and your organisation. We also record which resource you downloaded, the page, and the date and time. If you tick the box for updates, we record that you ticked it, the exact wording you saw, and the date.

Why we collect it, and our legal basis:

• To give you the download you asked for, and to know which resources people use. Our legal basis is legitimate interests.
• To email you about updates to our resources, only if you tick the box. We ask you to confirm your email address first by clicking a link in an email we send you. Our legal basis is your consent. You can withdraw it at any time.

You do not have to tick the box to get your download.

3. When you register your interest in the founding cohort, or contact us

What we collect: your first name, last name, work email address, organisation and, if you choose to give one, a message. We also record which page link you came from (for example, Premium or General) and the date and time.

Why we collect it: to reply to your enquiry and to talk to you about joining the founding cohort. Our legal basis is legitimate interests: you contacted us and we answer you.

What happens next: your enquiry is saved in our website database, and a copy is sent to our hello@includology.com inbox. When we reply, the reply goes to the email address you gave us. We do not send you an automatic email, and we do not add you to any mailing list because you enquired. We do not sell your email address or use it for unrelated marketing.

How we limit spam: the form has a hidden field that catches automated submissions, and it limits how many enquiries can be sent from one email address or connection in an hour. For this we keep a scrambled version of your email address and connection address (it cannot be turned back into the original) for 24 hours. We do not use Google reCAPTCHA or any other outside spam service.

You do not have to use the form: you can email hello@includology.com instead.

4. When you visit the site

• Our site does not set any cookies for visitors, and it does not use analytics or advertising trackers. That is why there is no cookie banner.
• Your browser may remember how far down a page you scrolled, so the Back button returns you to the same place. This stays in your browser, is never sent to us, and is cleared when you close the tab.
• Our fonts are served from our own site, so loading a page does not send your connection address to Google for fonts.
• Our Quick Check: your answers are worked out in your browser and shown to you. We do not receive or store them.
• Our Ask Isaac button opens an information panel. It has no text box, and opening or closing it sends and stores nothing.
• Lovable, which runs our website, also keeps standard technical records about visits (such as connection details) to run and secure its own service. It does that for its own purposes under its own privacy policy.
• Only people who sign in to our Admin area (our team) have a sign-in session stored in their browser, and a small setting that remembers whether a side panel is open.

5. Who handles your details for us

• Lovable runs our website, database and file storage and handles the details you give our forms on our instructions, under a data processing agreement. Lovable says it does not use the details you give our forms to train AI models. Its list of suppliers is at trust.lovable.dev.
• Lovable's built-in email service sends our automatic emails, such as the updates confirmation email and the notification we receive of your enquiry, from noreply@site.includology.com.
• Microsoft (Outlook) hosts our hello@includology.com mailbox, where we receive and answer your messages.

We do not sell your details. We do not use them for advertising.

Your details may be handled outside the UK. Lovable and its suppliers handle data in several countries, including the United States. Where details leave the UK, safeguards recognised in UK law apply. You can ask us for more information at hello@includology.com.

6. How long we keep them

• Enquiries from the "Register your interest" form: 12 months from the date you sent it, then deleted automatically. We delete it sooner if you ask.
• Download records: 24 months.
• If you confirm you want updates: we keep your record while you stay subscribed, and until you withdraw.
• Confirmation requests you never confirmed: deleted 30 days after the link expires.
• If you confirm and later withdraw consent: the record is kept 24 months to show what you agreed, then deleted.
• Scrambled connection and email address (spam limits): 24 hours.
• If you ask us to stop emailing you, we keep your email address on a "do not contact" list so that we never email you again.
• The copy of your enquiry in our hello@ inbox: kept for the same 12 months, then deleted by us.

7. Links to other sites

Our site links to our LinkedIn page. LinkedIn has its own privacy policy. We do not load anything from LinkedIn onto our pages.

8. Your rights

You can ask to see, correct or delete your details, object to how we use them, or withdraw your consent. Every email we send you to ask for your consent has an unsubscribe link. Contact hello@includology.com. If you are unhappy with how we handle your details, you can complain to the Information Commissioner's Office at ico.org.uk.
